Collect, manage, and store data in full compliance with the GDPR while increasing your company’s efficiency and improving its security posture.
Privacy by design
Limit data collected by the app to only what is necessary for achieving specific legitimate purposes as dictated by Articles 5 and 25 GDPR.
- Take advantage of the purpose-built GDPR mode, which turns off recording windows titles, web URLs, screen captures, keystrokes, searches, files, emails, and printings.
- Set up different monitoring profiles for different users/teams and select types of collected data and recording methods based on your legitimate purposes.
- Avoid capturing personal data, including special categories listed in Article 9 GDPR, such as health records, by excluding programs and web services containing these data.
- Stop monitoring a user and collecting data as soon as the need no longer exists by simply choosing the corresponding action in the User tab.
Right to be informed
- Add another layer of compliance to your written or electronic monitoring policies and ensure transparent data collection in line with Article 12 GDPR.
- Enable a message to appear in front of users each time a monitoring session starts and inform them about ongoing activity tracking.
- Customize the message by specifying the contact details of your Data Protection Officer, the purpose of data collection, or other information required by Articles 13 and 14 GDPR.
Right of access
- Anticipate your employees’ right of access requests originating from Article 15 GDPR by providing them with access to the Controlio dashboard and collected data.
- Select an existing employee login or specify an e-mail address to invite your staffers to the dashboard for self-monitoring and viewing the records.
- Meet privacy standards set by the GDPR using Controlio’s default Employee policy, which allows each worker to see only their own data.
Right to be forgotten
- Be ready to erase personal data processed by the app when they are no longer required for original purposes, or when a user has withdrawn their consent, or for any other reason under Article 17 GDPR.
- Delete computer activity records from the Controlio platform, or remove users’ records with all associated activity data, or clean up the activity data except the users’ basic information in a few clicks right from the dashboard.
- Remove data of individual users while retaining productivity and security insights on teams and departments.
Employee data protection
- Ensure appropriate security of your staffers’ data collected by Controlio in compliance with Articles 5 and 32 GDPR.
- Protect the data against unauthorized access with default and custom-made policies specifying who can access the Controlio dashboard and what data they can view or edit.
- Assign roles and give permissions based on job duties to hit the best balance between oversight allocation and access restriction.
- Give no chance to unlawful processing and data loss, destruction, or damage with the Audit Log recording all actions performed in the dashboard by privileged users.
- Make the protection of your account in the Controlio app even stronger by enabling two-step authentication.
Customer data protection
- Comply with data security requirements set by Article 32 and similar regulations beyond the GDPR when processing your customers’ sensitive information.
- Keep track of access to protected data via web services and applications with Controlio recording all computer-based activities of your staff.
- Enforce compliance policies by setting up notifications about any rule violations or blocking prohibited activities like data transfer to a USB flash drive or unauthorized access to an insecure website.
- Get user and entity behavior analytics to detect insider threats and hidden security gaps for further adoption of preventive measures, such as setting alerts on risky behaviors or establishing stricter monitoring for select users.
- Report a personal data breach in a timely manner and to the extent required by Article 34 GDPR with immediate incident alerts, the online monitoring feature, and time-specific audit logs.
- Investigate personal data leaks fast and thoroughly using immutable audit trails linked to policy violation incidents.
